Reporting challenges in most Universities

Most Universities face in particular during an accreditation, annual reporting or funding process the challenge of working with isolated spreadsheets, databases and even systems. The report life-cycle of management reports usually takes several days. Deans, Heads of Departments, Executives, Managers and Finance Analysts, Human Resources, Marketing and Student Administration have to rely on the availability of employees with special IT expertise or their IT department to create and deliver management reports.

The delivery mechanism of reports is usually inadequate. Reports are often delivered in both hard copy and downloadable static Adobe PDF files, where users are forced to re-key data into an electronic format. Spreadsheets and databases are usually kept in isolation and do not support a multiple-user information and knowledge sharing platform. In addition, ad hoc reports delivered in Excel are always very time consuming and costly as they are manually created and usually delivered via email.

Typically the reporting processes are not automated and are handled on an “on request” basis. The reports generated in Excel or Access databases are not flexible to meet changing needs and do not meet most security requirements.
